5.3 Note Numbering

Report Authority’s note numbering functionality uses Word sequential fields (SEQ) to automate note numbers. To cross-reference note numbers, Report Authority inserts a bookmark around the sequential field and references the bookmark in a cross-reference field described in the previous article.

To assist the process, these tasks are automated by the following two buttons accessed in the Insert ribbon:

Inserting a Note Number

Note numbers are inserted in the heading paragraphs of disclosure notes.  To insert a new note number, move the caret to the paragraph and click the Note Numbering – Insert command.

Inserting a note number will:

  • Insert a sequentially numbered field
  • Insert a bookmark around the field
  • Apply the “Note” style.

Note Numbers and Segments

Note numbers are determined using a sequentially numbered field (SEQ).  The first SEQ field in the segment editor will always be “1”.  The actual note number will be determined and displayed correctly on the document assembly when creating the report output.

Referencing Note Numbers

To refer to a note, insert the caret at the desired position (usually in the note column of tables) and click the Note Numbering - Refer to button.

This will insert a cross-reference to the bookmark containing the SEQ field. When the SEQ field's value is updated on report assembly - so will the cross-reference to it thereby ensuring dynamic note numbers. 

Note Number and Segments

The insertion of references to note numbers uses the cross-referencing functionality described in the Cross References section.  Because the bookmarks are very likely going to be in different segments, they will be displayed as “@!” in the segment editor.  

They will be given the correct number on document assembly.
