Users, Account Owners, Administrators and Delegates

Users

Every user of the service must have a user account. A user account is created:

  1. When a new user registers for the service and a new organisation is created; or
  2. When a new user is invited to become an administrator or delegate of an existing organisation.

A user can be the account owner of only one organisation but can be an administrator or delegate of many.  If a user is linked to more than one organisation by virtue of being added as an administrator or delegate of other organisations, they can switch between organisations using the organisation switcher in the main menu once logged into the service:An administrator or delegate can leave an organisation by selecting the Leave organisation option in the main menu.

The only personal information that is stored is:

  1. First name
  2. Last name
  3. Email address

There are also two email distribution lists that the user can subscribe to on registration.  All personal information and subscription to email distribution lists can be edited in the Update profile menu:

User Roles

A user has one of 3 roles in their relationship to an organisation:

  1. Account Owner
  2. Administrator
  3. Delegate

Account Owners

Organisations can have only one account owner.  An account owner can perform the same functions as an administrator but only the account owner can perform the following tasks:

  • Amend billing details such as address and EU VAT code.
  • Amend the active subscription.
  • Delete the organisation and all its data.
  • Nominate a shared user to become the new account owner.
  • Clear the audit logs.

To change the account owner, select the Share your account option from the main menu, select the new owner and click the Make Organisation Owner button:

Administrators

An administrator (and account owner) can perform the following tasks:

  • Change service settings.
  • Invite other users to share the organisation.
  • Remove users from the organisation.
  • Change user roles within the organisation.
  • Create edit and delete clients.
  • Create edit and delete user groups.
  • Add, edit and delete reporting modules in a client.
  • Add, edit and delete reporting entities in a client.
  • Create new periods.
  • Lock and unlock periods.
  • Edit reports in open periods (subject to any segregation of duties being enforced XXXXX).

Delegates

A delegate can perform the following tasks:

  • View reports in closed periods.
  • Edit reports in open periods (subject to any segregation of duties being enforced XXXXX).
