Period Management

Only Admin users can make any changes to periods.

Creating periods

To create a period, click the New Period button.:

If this is the first period to be created, the previous reporting period (based on today's date) will be suggested.

  • Year: Enter a four-digit year.
  • Period: Select from the list of available periods.  Please note that this list depends on the setting of the Reporting Module. Annual reporting will have only one period (FY).  Semi-annual reporting, two (H1, H2), Quarterly 4 (Q1, Q2, Q3 & Q4) & Monthly 12 (M1, M2 - M12).

You cannot create identical periods (periods with the same year and period value).

Copy Reports From

The Copy Report From section allows you to specify another period from which you want to copy the reports.  This is a convenient way to roll forward prior period documents.  Please note, the following data will be retained in the document:

  • All report properties
  • All templates and dimensions that were previously initialised.  The collection of templates, tables and sheets should be the same as the previous period's reports.
  • All pinned review queries.  A pinned review query is a review query that will be automatically raised in future periods for resolution.  Note all pinned review queries' statuses will be made Open and all prior conversations in the resolution of the query will be cleared.  A 'clean' open review query will be created.

The following data will not be copied:

  • Data point values and their associated audit trail.
  • Workflow state and workflow progress history.  The status of all templates will be set to Initialised.
  • All unpinned review queries.

Please note that when a copied report is opened for the first time, the report properties form will open automatically.  It is a requirement to review and confirm all report properties.  The reason is that you might have copied the report into a period that requires a new version of the taxonomy.

Deleting Periods

A period can be deleted by clicking on the delete periods action button:

Locking and Unlocking Periods

A period can be locked or unlocked for editing by using the toggle button:

  • A report can be opened and viewed, but no changes can be made.
  • The workflow progress of all templates will not flow through to the progress bars in the Reporting Module or Clients form, as these display only the progress of reports within unlocked periods.
  • By default, a locked period will be collapsed in the Reporting Module form and would need to be expanded to see the reports.
