Contents - Workflow

Overview

Workflow functionality is only available to subscribers of the Gold tier, and is enabled with the setting of "Workflow" set to 'ENABLE':

With this functionality enabled, you can track the status of all templates through the following statuses:

  1. Initialised
  2. In Progress
  3. In Review
  4. Complete

The status of each template can be seen in the Status column of the Contents menu:

Changing the Status

Manually

Newly initialised templates and all templates in duplicated reports have an initial status of 'Initialised'. The status for an individual template can be manually changed by clicking on the relevant cell:

Automatically

The status will also automatically be changed from 'Initialised' to 'In Progress' if any changes are made to the template (such as changing the filing inductor, inputting/loading of data point values or by raising or responding to review queries).

Template Status History

A history of the changes to a template's status can be seen by clicking on the Status History action button:

The full user name can be seen by hovering the mouse over the user's avatar.

Workflow Overview

The status of each template can be seen in the Contents menu.

In addition to this, a summary of progress can be seen at the following levels:

1. Reporting Module

In the Reporting Module form, a summary of the status of each report can be seen in the Progress column:

Hovering your mouse above each colour in the progress bar will reveal a tooltip which will indicate the number of templates in the relevant status.  Please note that no progress bar will be visible for reports in close periods - even if not all templates are complete.

(Note that clicking on the progress will open the report - the same as if double-clicking the report or clicking on the Open Report action button)

2. Reporting Modules

On the Reporting Modules page, there is a Progress column which indicates the number of reports in open periods that are complete.  In this context, a report is considered completed if the status of all templates is 'Complete'.  Hovering your mouse above the progress bar will reveal a tooltip indicating the exact number of reports:

This progress bar will not take into account any uncompleted reports in closed periods.

(Note that clicking on the progress will open the Reporting Module - the same as if double-clicking the row or clicking on the Open action button)

3. Clients

If practice management is enabled, you can see the total number of completed and uncompleted reports there are in open periods across all reporting modules. Hovering your mouse above the progress bar will reveal a tooltip indicating the exact number of reports:

This progress bar will not take into account any uncompleted reports in closed periods.

(Note that clicking on the progress will open the Reporting Modules form - the same as if double-clicking the row or clicking on the Open action button)
